Privacy Policy
Joel Overstreet Media LLC
Effective date: October 20, 2026
Joel Overstreet Media LLC (“we,” “us,” or “our”) is based in Roswell, Georgia, and currently serves customers in the United States.
This Privacy Policy explains how we collect, use, retain, and disclose personal information when you visit joeloverstreet.com, contact us, book a project, receive project deliverables, or use our photography, video, and other media services.
1. Information We Collect
Depending on your interaction with us, we collect the following information:
Contact and client information: Names, email addresses, telephone numbers, business or brokerage names, and billing information.
Booking and project information: Requested services, appointment details, property addresses, project instructions, and communications. Clients may also provide information about homeowners, occupants, or other project participants.
Property access information: Lockbox, door, alarm, or other access instructions provided for a project.
Project media: Photographs, videos, audio, floor plans, virtual tours, and related materials we receive or create. These materials may show identifiable people, property interiors and exteriors, addresses, personal belongings, and other details visible or audible during a project.
Transaction information: Orders, invoices, payment status, and related billing records. Customers enter payment details directly through checkout, and payments are processed through Stripe.
Website information: Technical information collected by our website and its providers, such as IP addresses, browser and device information, referring pages, pages viewed, and visit information. Squarespace processes visitor information to operate and protect the website. Additional activity information may be processed for analytics, depending on the features and settings in use. Squarespace explains its visitor-data practices here.
We receive information directly from you, from clients or others coordinating a project, and through the services supporting our business.
2. How We Use Information
We use information to:
Respond to inquiries, prepare estimates, and communicate with clients.
Schedule projects and coordinate access to properties.
Capture, edit, deliver, store, and support project media.
Process payments and maintain business records.
Send booking confirmations, project updates, invoices, and delivery notices.
Send email newsletters and manage subscription preferences.
Display and promote our work as permitted by project agreements.
Operate and improve our website and services.
Protect accounts, address misuse, resolve disputes, and meet legal obligations.
3. Service Providers, Editors, and Other Disclosures
We use outside services and independent contractors to support our work. Our providers include:
Squarespace: Website hosting, projects outside real estate media marketing, customer management, and newsletters.
Aryeo: Booking and project workflows for real estate agents.
Stripe: Payment processing.
Dropbox: Gallery and file storage.
AutoHDR: AI editing of real estate and property photographs.
Independent editing contractors: Photo and video editing and related production work.
Our editing contractors are located in the United States and abroad. We limit their access to the files needed for their assignments.
Providers may process information under their own privacy policies and terms, including for purposes they determine independently.
AutoHDR
We use AutoHDR for real estate and property photographs, rather than portrait editing.
AutoHDR’s published policy permits uses of uploaded images and edited outputs beyond completing an individual edit, including AI training, product development, marketing, and other commercial purposes. It also permits retention of certain copies, derivatives, or backups. We do not have a separate agreement restricting those uses.
These practices are described in AutoHDR’s Privacy Policy. Our own file-deletion schedule does not establish a deletion schedule for information retained by AutoHDR.
Other circumstances
We may also disclose information:
To clients and other authorized project recipients when delivering services.
Through property websites, listing platforms, social media, or other publication channels when publication is part of the project.
When you direct or authorize a disclosure.
To comply with applicable law or valid legal requests, protect rights and safety, address fraud or security concerns, or enforce agreements.
In connection with a merger, acquisition, or transfer of business assets, subject to applicable privacy obligations.
We do not currently sell or give customer contact lists to other businesses for their own marketing. This statement does not replace the disclosures above about service providers and their handling of project media.
4. Gallery Access and Private Projects
Our standard gallery delivery allows anyone with the gallery link to view the media. A recipient may forward that link to others.
Private or password-protected delivery may be requested and arranged for a particular project. Restrictions on our use of media for our website, portfolio, social media, or other promotional purposes should be discussed before booking and agreed upon for that project.
A private delivery arrangement or restriction on our promotional use does not prevent necessary processing by our editing contractors or AutoHDR. It also does not independently restrict AutoHDR’s uses under its own terms.
Contact contact@joeloverstreet.com to discuss a project’s privacy requirements.
5. Portfolio and Promotional Use
Our booking agreement includes permission for us to use project photographs and videos on our website, in our portfolio, on social media, and for other promotional purposes, subject to the agreement’s terms.
If we agree before booking that particular media will remain excluded from these uses, the agreed restriction applies to that project.
For public use of media showing identifiable children, we obtain permission through the project agreement from a parent or legal guardian.
Project agreements and any separate releases govern the scope of media permissions and licensing. This Privacy Policy describes our information practices and does not replace those agreements.
6. Cookies, Website Analytics, and Advertising
Our website uses Squarespace and related technologies to operate its features and process website visitor information.
The website provides a Cookie Preferences control with choices labeled Performance and Analytics and Advertising. The preference panel identifies Necessary cookies as always on for core website functionality and remembering preferences. A category appearing in this panel does not necessarily mean that a particular advertising service is active.
You can review the available choices through Cookie Preferences and manage cookies through your browser settings. Restricting cookies may affect website functionality.
We do not currently run paid Facebook, Instagram, or Google advertising, and Meta Pixel has not been installed on our website. We plan to review and update our advertising disclosures and applicable controls before introducing Meta Pixel or other additional advertising tracking.
7. Email Newsletters and Client Communications
We use Squarespace to send email newsletters. Our mailing list may include people who subscribed through our website and clients who were previously added in connection with booking a project.
We are not currently automatically adding new clients to the newsletter list when they book.
Recipients can unsubscribe from any newsletter using its unsubscribe link or by contacting contact@joeloverstreet.com. Unsubscribing from newsletters does not stop communications needed to manage an active project, payment, or service request.
Our current promotional communications use email newsletters, rather than promotional text messages.
8. Information and File Retention
Retention varies according to the information, its purpose, our project agreements, and applicable legal obligations.
Raw photographs and videos
Our practice is to delete our own raw photo and video working files 90 days after delivery.
This schedule applies to our own working files. It does not guarantee deletion of every backup or of copies retained by editing contractors, AutoHDR, or other providers.
Delivered media
We currently retain delivered photographs and videos without a fixed automatic deletion period. However, we do not provide guaranteed permanent storage or continuing access.
Clients are responsible for promptly downloading their delivered media and maintaining their own backup copies. Gallery links and stored files may become unavailable, and retention should not be treated as a permanent archiving service.
Property access information
Property access instructions and codes provided for a project remain in the associated Aryeo records. We do not currently automatically delete that information after project completion.
Contact us if access information needs to be corrected or removed. We will review the request in light of our operational and legal obligations.
Other records
We retain other client, transaction, communication, and business records for purposes such as managing our business relationships, accounting, documenting authorized media use, meeting legal obligations, and resolving disputes.
Providers and contractors may retain their own records or copies under their policies, agreements, and applicable obligations.
9. Security and Processing Locations
We use safeguards designed to protect business accounts and project information, including two-step login and limiting contractor access to the files needed for their work.
No method of electronic transmission or storage is completely secure.
Although our business is based in Georgia and currently serves U.S. customers, some editing contractors are located abroad. Our providers and contractors may process or store information outside the United States.
10. Children’s Information
Our website and booking services are intended for adults arranging photography and media services.
Project media may include identifiable children. Permission for our public use of that media is addressed through the project agreement with a parent or legal guardian, as described above.
Contact contact@joeloverstreet.com with questions or concerns about a child’s information or image.
11. Privacy Questions and Requests
You may contact contact@joeloverstreet.com to:
Ask about the personal information we hold about you.
Request access to, correction of, or deletion of information.
Raise a concern about published media or gallery access.
Update your communication preferences.
We may need to verify your identity or authority before responding. We handle requests as required by applicable law and may retain information where needed for legal obligations, accounting, disputes, or other permitted purposes.
Your rights and available procedures may vary depending on where you live and which laws apply to our business. We will honor applicable privacy rights, including any required opt-out or appeal rights.
Our ability to remove media may be limited where copies are controlled independently by clients, listing platforms, service providers, or other recipients. We will assess requests according to our applicable obligations.
12. Other Websites and Services
Our website and project materials may link to third-party websites, booking tools, payment services, listing platforms, or social media. Those services have their own privacy practices. Review their policies when using them.
13. Changes to This Policy
We may update this Privacy Policy as our services, providers, information practices, or legal obligations change.
Updates will appear on our website with a revised effective or updated date. We will provide additional notice when required by applicable law.
